Digital Preservation and Journal Continuity

Clinical Medicine and Pharmacology protects access to its clinical record through the PKP Preservation Network and a separate publisher recovery programme. From 15 September 2026, this policy assigns responsibility for published holdings, missing notices and restoration of the working journal. A clinician must be able to distinguish an archived original finding from a later safety correction or retraction.

Clinical material in the preserved record

The preservation package covers the released article, citation and licence metadata, public appendices and notices affecting its interpretation. Export checks must preserve drug names, doses, units, outcome tables, image legends and the relationship between an article and any correction. A replacement file must not separate a clinical finding from the notice explaining its changed status.

Patient charts, signed consent forms, confidential review material, private administrative files and source images without publication permission are excluded. The editor examines clinical supplements for unintended identifiers before release and checks separate rights in instruments and images. These private records are handled under Privacy and Confidentiality, not deposited as public evidence.

Service and actual holdings

CMP uses the PKP Preservation Network, referred to as PKP PN or PKP PLN, for eligible published content. The Managing Editor acts as Preservation Coordinator and maintains an issue-level coverage record. Technical Support checks the service configuration and transfer results. The record distinguishes a completed deposit from a pending transfer or a failed package; participation in the service does not mean that every new article is already preserved.

Readers can request the preserved extent of a specific volume, issue or DOI at cmpsupport@jandoopress.com. When the service publishes holdings, the office cites their actual extent and update date. DOI registration, hosting and an author’s repository copy are separate functions and are not treated as proof of a completed independent deposit.

Deposit reconciliation and urgent notices

For OJS, Technical Support must select a compatible preservation plugin, check prerequisites and scheduled tasks, and arrange authorised acceptance of the service terms. The Managing Editor reconciles released content and revisions against the packages. The coordinator reviews new or changed issues and checks overall holdings monthly, retaining completion evidence and following up on missing, stalled or rejected material.

A failed transfer has a named owner, recorded cause and follow-up action. An absent correction concerning dose, safety or reliability receives urgent editorial attention. Staff retain reliable source files, repair the relevant link or package and document the action. Archive release following cessation is governed by the service’s own trigger procedure and is not the same event as recovery of a damaged website.

Working systems and recovery tests

The website uses Amazon Web Services hosting. AWS protects its underlying infrastructure; the publisher remains responsible for application configuration, user permissions and journal data. The Technical Support Officer must operate daily consistent database and file backups, with encryption and storage separated by access controls. The retention cycle contains 30 daily and 12 monthly versions. Monthly sample restores and quarterly full restore exercises test whether clinical files, metadata and notices can actually be recovered.

The recovery record must show the configuration used, dates of completed tests, measured results and unresolved failures with corrective work. The internal objectives are a recovery-point gap of no more than 24 hours and restoration of essential service within 72 hours. They guide planning and testing and are not a guarantee for every incident. Deletion from routine backup rotation must not delete the independently preserved scholarly record.

Transfer closure and missing access

The publisher owns continuity decisions. A migration must retain original dates, identifiers, open licences and links between articles and notices. If CMP ceases publication, the publisher informs active authors and readers, stops soliciting papers, notifies the preservation service as required and arranges a verified successor or access route where possible. It cannot promise immediate release of a dark archive outside the provider’s procedure.

Report a missing article, damaged clinical table or inaccessible supplement to cmpsupport@jandoopress.com with the citation, DOI and affected link. Identify an absent safety or status notice explicitly so that the editor can prioritise it. The office checks the working record and preservation evidence before describing the available extent.
